Who we are
Cotax Accountants, 463 Streatham High Rd, London SW16 3PH. We are the data controller for the information described in this notice.
What we collect through this website
If you complete the enquiry form we collect the following, because you choose to give it to us:
- Your first and last name
- Your email address
- Your phone number, if you choose to provide it (this field is optional)
- A short description of what you need help with
- Any message you write to us
Our web host also keeps standard server logs, which include IP addresses, for security and diagnostics. We do not use Google Analytics, advertising pixels or any other tracking or profiling tools on this website.
Why we use it, and our lawful basis
We use what you send us solely to respond to your enquiry and, if you go on to instruct us, to provide accountancy services. Our lawful basis for handling an enquiry is our legitimate interest in responding to someone who has contacted us about our services. If you become a client, we handle your information to perform our contract with you and to meet the legal obligations that apply to accountants, including anti-money-laundering and tax record-keeping requirements.
Who we share it with
- Our website host, DreamHost, which stores the website and its data on our behalf. Its servers are located outside the UK, and any transfer is made under the safeguards required by UK data protection law.
- HM Revenue & Customs, Companies House and similar bodies, but only where you are a client and only where filing or the law requires it.
We do not sell your information, and we do not share it for marketing purposes.
How long we keep it
- Enquiries that do not become work: up to 24 months, then deleted.
- Records of email sent by the website: 14 days, then deleted automatically.
- Client records: for at least six years after our work ends, because tax and anti-money-laundering rules require it.
Cookies and the map
This website does not set advertising or analytics cookies. WordPress may set a small number of strictly necessary cookies that keep the site working, and our caching software may do the same.
The Contact page displays a Google Map so you can find our office. When that map loads, Google receives your IP address and may set its own cookies. That is Google’s processing, governed by Google’s own privacy policy. If you would prefer not to load it, you can view our address in text on the same page without interacting with the map.
Your rights
You have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, to ask us to delete it, to object to or restrict how we use it, and to ask for it in a portable format. Where we rely on legitimate interests, you can object at any time. Some of these rights are limited where the law requires us to keep records, which is often the case with accountancy work.

Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator, at ico.org.uk or on 0303 123 1113.

If we change how we handle personal information, we will update this page and change the date at the top.
